Fire & Fragrance Nashville ("FF Nashville," "we," "us") is a missions training organization located in Nashville, Tennessee. This policy explains what information we collect when you visit ffnashville.com, fill out one of our forms, sign up at an event, or communicate with us, and how we use and protect it. By sharing your information with us, you agree to the practices described here. If you do not agree, please do not submit your information.

Information We Collect

When you fill out a form on our website, scan a QR code at an event, apply to a program, or email or text us, we may collect your name, email address, and mobile phone number; what you are interested in (events, campus outreach, short-term mission trips, or one of our training programs) and when you would like to participate; whether you have agreed to receive text messages from us; and anything else you choose to share, such as your school, church, or a message.

When you fill out a form, we record where we met you (for example, a Monday Night gathering or a specific campus visit) so we can follow up in a way that makes sense. When you visit our website, our systems may also collect standard technical information such as your IP address, browser type, device, the pages you visit, and how you found us. If you apply to or attend one of our schools or short-term mission trips, we collect the additional information needed to process your application and run the program, and that information is covered by the application itself and by this policy.

How We Use Your Information

We use the information you share to follow up with you by phone, text, or email after we meet you; to tell you about upcoming events, gatherings, short-term mission trips, and training programs; to process and respond to program applications; to send stories, updates, and news from FF Nashville; to understand which events and outreach efforts are connecting with people so we can plan better; and to keep our records accurate and our systems secure. We do not sell your information, and we do not share it with anyone for their own marketing purposes.

If you check the box to receive texts from us, you are agreeing to receive text messages from FF Nashville at the mobile number you provided. These may include follow-up from a member of our team, event reminders, and occasional updates. Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP to any message. Reply HELP for help, or email us at Team@ffnashville.com. Consent to receive texts is not a condition of participating in any FF Nashville event or program. We do not share your phone number or text-message consent with third parties for their marketing purposes.

Who We Share It With

We store and manage your information in HubSpot, our customer relationship and email platform, and use other service providers for email delivery, text messaging, website hosting, and payment processing. These companies process your information on our behalf and under our instructions, and they are not permitted to use it for their own purposes. Online payments are handled by our payment processor (Stripe or HubSpot Payments). FF Nashville is part of the YWAM family of ministries; if you apply to a program run with or hosted by another YWAM base or partner ministry, we share the information needed to run that program with them. We may also disclose information if required by law, to protect the safety of a person, or to protect our rights.

Our website uses cookies and similar technologies, including HubSpot's tracking code, to remember you between visits, pre-fill forms you have filled out before, and understand how people use the site. Some of this tracking may connect your website activity to your contact record once you have submitted a form. You can block or delete cookies in your browser settings; doing so may mean some parts of the site do not work as smoothly, and forms will not remember you.

Your Choices

Every marketing email we send includes an unsubscribe link; unsubscribing from marketing emails will not stop emails that are part of a program you have applied to or are attending. To opt out of text messages, reply STOP to any message. To opt out of phone calls, tell the person who calls you or email us and we will note it on your record. To request access to, correction of, or deletion of your information, email us and we will respond within 30 days. We may keep limited information where we are required to, or where it is needed to complete a program you have enrolled in. We will not treat you differently for exercising any of these choices.
